Where your data is hosted
Everything is stored with Hetzner in Germany (Falkenstein). For processing, audio is transcribed by Gladia (France), or by Groq (United States) if that fails. Summaries are generated by Google Gemini (United States), by direct call (OpenRouter, United States, as a fallback only), from the transcribed text: this data is transferred outside the European Union. Details of our sub-processors and their locations are on the Trust Center page.
For how long
Audio recordings are deleted as soon as the transcript and report have been produced (after 14 days if processing does not complete). Transcripts and reports are deleted automatically 12 months after they are created, or immediately when you delete a report or your account.
Exercising your rights
At any time, you can:
- Access all your data — from Settings → Account → Export my data (JSON archive + audio).
- Rectify any information — email, name and organisation can be changed in Settings.
- Delete a report — “Delete” button on each report (permanent deletion within 24 hours).
- Close your account — Settings → Account → Delete my account. Your data is deleted immediately, except for the organisation's audit log (actions and the name of the person who performed them), which is kept as evidence until the organisation is deleted.
- Object or request data portability — write to support@scribeapp.eu. We reply within 30 days (legal requirement).
Participant consent
When the Scribe bot joins a meeting, it announces its presence and a visible message indicates that the meeting is being recorded. It is up to the organiser (you) to make sure that participants are informed and give their consent, particularly outside a professional context.
